Project Summary
- Category: Software Project Management
- Client: Top 2 Global Phone Manufacturer
- Project date: October, 2021
- Problem: Client was sending too many orders to their ITAD vendor bringing their existing software to its knees. Their software was timing out for IT, CRM's, Operations, & Accounting.
Problem
My client's existing ITAD (IT Asset Disposition) unloading process was too slow to handle the phone manufacturers mailback program volume, causing delays and backlogs. The number of orders was crippling several teams including accounting and operations.
Their internal software struggled to pull up reports without timing out, and thousands of invoices were pushed to their accounting systems requiring invoices to be manually created.
Their existing software was built to capture a lot of data on a few hundred orders each month. The global phone vendor was sending more than one hundred thousand. This resulted in hundreds of wasted manhours each month for accounting, operations, CRM's, and IT.
Solution
I made a project plan to build a custom dashboard completely separate from their existing system (Separate server, database, & API). I had it linked to their existing software via SSO to appear integrated.
This collected all of the client's orders and only sent a summary invoice over to their original software once per week instead of once per order. This new dashboard was a fully searchable database of all of the phone manufacturers' requests.
I drafted a wireframe, had our designer create mockups, and set up a project feature and PBI's in Azure DevOps to track progress from our overseas developers. Since our client was already live, we had a deadline of 1 month to complete.
Results
Saved 6,456 man-hours annually
Estimated cost savings of $161,000 annually
My project
- Increased their unloading process 300%
- Eliminated their entire ITAD backlog
- Eliminated IT Helpdesk intervention
- Eliminated timeouts for accounting
- Allowed CRM's to see order data
